Terms & Conditions

DAY EXPERIENCES

Full payment is due upon time of booking for individuals. Group Leaders may book a trip on a group’s behalf and transfer individual per-person payments to Maxima Tours as they become available.

OVERNIGHT EXPERIENCES

North American Overnight Tours

All tours not including airfare or cruise departures are refundable up until 7 days prior to departure.

Should a trip be cancelled from 45 days prior to 7 days prior to departure, a doctor's note is required and an admin fee of $50 will be charged.

45 days or more prior to departure – 100% refundable regardless of the reason.
If the cancellation is within 7 days of departure the tour is 100% non-refundable.


Overseas Motorcoach Tours, Air/Cruise Tours and Other Travel Products

120 days prior to departure – 100% Non-Refundable (unless otherwise stated)


*Deposit on Air Tickets and Cruise Tours, and Full Payment on Charter Flights are 100% Non-Refundable.
*If contracting out-sourced travel programs and suppliers for packaging, all payments, cancellations and policies of the company of which Maxima Tours contracts the travel program, will take effect and override Maxima Tours policies.
*Maxima Tours will act in the capacity of agents for all Non-Maxima Tours products.

 

PRICE INCREASES

Once a deposit is paid, it is the intention of Maxima Tours to honour the advertised rate if there is a price increase. However, widely fluctuating exchange rates and fuel prices could cause price increases after deposits are received. No price increases will be made after you have paid for your trip in full.

CANCELLATION POLICY

Day Tours

No refunds will be offered for cancellation of any day trip except where cancellation assurance is purchased.

 

North American Overnight Tours

45 days or more prior to departure – 100% refundable

44 - 7 Days prior to departure – 50% refundable.

If the cancellation is within 7 days of departure the tour is 100% non-refundable.

 

PAYMENT OPTIONS

Maxima Tours accepts cash, cheque, Visa, Master Card and American Express. Cheques can be made payable to Maxima Tours Ltd. We do not accept post-dated cheques.

IMPORTANT INFORMATION

Maxima Tours reserves the right to cancel or alter a tour, at our discretion. Prices quoted are based on costs/rate of exchange on the currency at the time of print and are subject to change without notice. Not applicable to “booked” excursions. Once a signed confirmation is received with the deposit, the contract does not permit price increases.
Maxima Tours acts only as an agent in making arrangements for hotels, transportation and air carriers, restaurants or any other services and cannot assume responsibility or liability for any injury, damage, death, loss, accident or delay to persons or property due to an act of default of any hotel, carrier, restaurant, entertainment, company or person rendering any of the services included in the tour.

Further, no responsibilities are accepted for any damage or delay due to sickness, pilferage, labour dispute, 

machinery breakdown, quarantine, government restraints, weather, acts of God, acts of terrorism, or other causes beyond our personal control.

INSURANCE

Maxima Tours recommends that all passengers purchase travel insurance coverage applicable to the type of tour and destination where coverage is needed. It is up to the passenger to obtain travel and cancellation insurance. Clients can contact Insurance 247 to obtain a travel insurance quote.  Insurance 247 broker , Stephen Eastwood can be contacted by visiting www.https://insurance247.ca. If passengers wish to decline insurance, Maxima Tours will require that passengers sign a “decline of insurance waiver”. Travel insurance is to be purchased at the time of booking.

HOTEL ACCOMMODATIONS

Hotels and room types are selected based on location, star rating, on-site amenities, cleanliness and service. Rates are quoted per person, based on double occupancy, unless otherwise stated. Anyone requiring
special services should notify Maxima Tours as soon as possible. Maxima Tours will assist in accommodating all special requests with the hotel(s) or resort(s) of the applicable tour. As special requests are a request, Maxima Tours cannot be responsible for suppliers' failure to comply.

 

PREPAID EVENT & PERFORMANCE TICKETS

Maxima Tours offers a wide array of Event and Performance Programs. In the instance where a package is arranged with prepaid tickets, the client is responsible for providing Maxima Tours with the full payment and quantity of the tickets required prior to booking. All ticket/venue service charges are applicable and are the responsibility of the client. Maxima Tours will act as a purchasing agent, on behalf of the client, once full payment is in the possession of Maxima Tours. All tickets are non-refundable and become the property of the client. The client is required to ensure the success of departure by complying with a minimum passenger count as required by Maxima before the trip may depart. Maxima Tours reserves the right to cancel any tour 45 days prior to departure, regardless of ticket prepayment, in the event, the group passenger count falls below the 30 passenger minimum. Maxima Tours will not be held responsible for the location of seats, as the venue will assign seating based on availability at the time of booking.

BAGGAGE HANDLING

Each tour will allow baggage handling for one suitcase per person. All passengers are responsible for carrying all hand luggage, overnight bags, coats, etc. All passengers are required to handle their own baggage through airports. Maxima Tours cannot assume responsibility of lost or damaged personal articles or belongings.

TIPS AND TAXES

All meal and hotel gratuities, service charges and applicable taxes are included in the package price unless otherwise stated. Gratuities for the Coach Operator, Step-on-Guides, and Tour Escorts are not included unless otherwise specified.

DOCUMENTATION

All passengers are responsible for carrying proper documentation while travelling. Passengers travelling outside the country of origin are required to present proper custom documentation for entry into all foreign countries. A Birth Certificate or Drivers Licence no longer act as proper documentation between the United States and Canada. A Passport or Enhanced Driver’s Licence is required. Countries abroad will require a valid passport. Passengers not of the citizenship of origin will require proper documentation by your national consulate. Each passenger is required to contact the Customs and Immigration Offices for further information. Maxima Tours is not responsible for the denial of entry by a passenger by the customs office. If denied entry, the responsibility of transportation back home is that of the passenger. Entry into a foreign country may be refused even if all required documents are present at the time of border crossing. When travelling to a foreign country, be aware that living standards and conditions may differ from those found in your country of origin.

ON-BOARD MOTOR COACH REGULATIONS

There is no smoking on board the motorcoach, at all times. Frequent comfort stops are arranged to accommodate passengers wishing to smoke.

Maxima Tours does not administer seat rotations while on the coach. Seat allocation is based on time of booking and special needs.

ITEMS NOT INCLUDED

All meals, unless otherwise stated, valet, laundry services, telephone calls, beverages, food not on the regular group menu, optional sightseeing excursions, tips to the Coach Operator and Tour Escort (if
applicable), and any other item of a personal nature is of the responsibility of the passenger. Airport and airline implemented fees, visas, passports, and any items of a personal nature, are of the responsibility of the passenger. At hotel check-out, all additional fees and services not included in the itinerary and stated above will be the responsibility of the guest and are made payable at this time.

PASSENGERS REQUIRING ADDITIONAL ASSISTANCE

Any disability requiring special attention must be reported to us at the time of booking. We will make reasonable attempts to accommodate the special needs of tour members, however cannot be responsible in the event the requests are denied by tour suppliers, travel companies and vendors. We regret that we cannot always provide individual assistance to a tour member for walking, dining, boarding and disembarking from the motor coaches, and other transportation vehicles.
